Revoke a donation receipt
Representatives and donation receiptsA donation receipt (Zuwendungsbestätigung) that has been issued can no longer be changed. If it's wrong, for example because of an incorrect address, or if the donation was refunded, you revoke it. The revocation remains on record permanently.
How it works
- Step 1: Open Reports, click the menu with the three dots in the donation's row and choose Revoke donation receipt….
- Step 2: Under Reason for revocation, write why you're revoking it. The reason needs at least ten characters.
- Step 3: Click Revoke permanently.
The receipt then has the status Revoked and can no longer be downloaded. In Reports, its receipt number appears next to the donation, marked “revoked”.
Issue a corrected receipt
If the receipt was merely wrong, for example because of a typo in the address, issue a corrected one after revoking it:
- Step 1: In the donation's row, open the menu with the three dots and choose Reissue donation receipt….
- Step 2: The details from the revoked receipt are already filled in. Correct whatever was wrong.
- Step 3: Tick both boxes and click Issue final receipt.
The new receipt gets its own number. At the bottom of the receipt, it says which revoked receipt it replaces. Only one receipt per donation is ever valid. After a refund, no new receipt is possible.
Inform the donor
The Studio doesn't notify anyone. Tell the donor that they may no longer use the revoked receipt.
After a refund
If a payment no longer counts as paid, for example after a refund, the Studio blocks the download of its receipt. In Reports, the donation then shows “please revoke”, and only Revoke donation receipt… remains in the three-dot menu.
In the export
In the CSV file under Representatives › Export receipts, revoked receipts are listed with the date and reason of the revocation.
